Privacy Policy
Last updated: July 6, 2026
1. Who we are
"Whosystems" is a brand and trade name. The website at whosystem.com (the "Site") is operated by the brand's parent company, together with its affiliates and subsidiaries (the "Company," "we," "us," or "our"). This Privacy Policy explains what we collect through the Site, how we use it, and the choices you have. It applies to the Site and to communications we send in connection with it. By using the Site you agree to this Policy.
2. Information we collect
Information you give us. When you use our forms, booking links, calculators, or job application, we collect what you submit — such as your name, email address, phone number, company or trade, messages you type, calculator inputs, and, for job applicants, your resume and application answers.
Information collected automatically. Like most websites, we and our service providers may automatically collect technical data such as IP address, device and browser type, pages viewed, referring URLs, and general usage data via cookies, local storage (for example, your light/dark theme preference), and similar technologies, including analytics and advertising pixels if enabled.
Information from third parties. If you book a call through our scheduling provider or interact with us on third-party platforms, we receive the information those services share with us.
3. How we use information
We use information to: respond to your inquiries and provide requested services; contact you about your inquiry by phone, text/SMS, and email (see Section 5); operate, personalize, secure, and improve the Site; operate automated and AI-assisted communications; evaluate job applications; perform analytics and measure marketing; comply with law; and protect our rights and the rights of the Company's parent and affiliated entities.
4. Automated and AI-assisted communications
Some of our responses and follow-ups — including text messages, emails, and messaging conversations — may be generated or assisted by artificial-intelligence systems operated by us or our technology providers. Messages you send us may be processed by those providers and stored in our customer-relationship-management (CRM) systems together with your contact details. AI-assisted responses may be inaccurate and are not professional advice. Please do not send us sensitive personal information (such as government identifiers, financial account numbers, or health information) through website messaging.
5. Calls, texts, and emails (communications consent)
By providing your phone number or email through the Site, you expressly consent to receive marketing and service communications from us and our service providers — including calls and text/SMS messages sent using automated technology or AI — at the number or address you provide. Consent is not a condition of any purchase. Message and data rates may apply; message frequency varies. Text STOP to cancel texts, HELP for help; use the unsubscribe link to stop emails. We honor opt-outs promptly.
6. How we share information
We do not sell your personal information. We share it only with:
- Service providers who process data on our behalf — such as website hosting and security (e.g., Cloudflare), CRM and communications platforms (e.g., HighLevel/LeadConnector), scheduling tools, form processors, analytics providers, and AI technology providers — under obligations to protect it;
- Our corporate family — the Company's parent company, holding entities, affiliates, and subsidiaries, for the purposes described in this Policy;
- Professional advisors and authorities where required by law, to enforce our terms, or to protect rights, safety, and property;
- A successor entity in connection with a merger, acquisition, financing, or sale of assets, in which case this Policy will continue to apply to your information.
7. Data retention and security
We keep personal information for as long as needed for the purposes above — typically for the life of the business relationship plus a reasonable period — unless a longer period is required by law. We use commercially reasonable safeguards to protect information, but no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices and rights
You may opt out of texts (reply STOP) and emails (unsubscribe link) at any time. Depending on where you live — including under the Virginia Consumer Data Protection Act and similar U.S. state privacy laws — you may have rights to access, correct, delete, or obtain a copy of your personal information, and to appeal a decision on such a request. To exercise any right, email [email protected] with your request; we will verify your identity and respond as required by applicable law.
9. Cookies and analytics
You can control cookies through your browser settings. If we deploy analytics or advertising tools (such as Google Analytics or advertising pixels), they may collect usage data as described in their own policies; you can opt out using industry tools such as the Google Analytics opt-out add-on or your platform's ad preferences.
10. Children
The Site is intended for business audiences and is not directed to children under 13 (or under 16 where applicable). We do not knowingly collect personal information from children; if you believe a child has provided us information, contact us and we will delete it.
11. Third-party sites
The Site links to third-party websites and services (scheduling, review platforms, social media). Their privacy practices are governed by their own policies, which we encourage you to review. We are not responsible for third-party practices.
12. Changes to this Policy
We may update this Policy from time to time. The "Last updated" date above reflects the current version; material changes will be posted on this page. Your continued use of the Site after changes are posted means you accept the updated Policy.
